Why choosing spa software is not just a price comparison
Search for "spa software" or "wellness booking software" and you land on the same stack of listicles with the same ten names and a star rating. What rarely shows up there: a spa or wellness practice often needs something different from booking software than a hair salon or nail studio does. Treatments run longer, packages and gift cards come up more often, and at a larger wellness center clients sometimes move through several rooms in one visit.
Those differences decide which software fits, more than the price on the homepage does. A system that works perfectly for a ten-chair hair salon can fall short for a spa with a sauna, a massage room and package sales, and the other way around. This guide sets out which features come up again and again for a spa or wellness practice, what the well-known providers charge for them, and when CelerBook is and is not the right choice. For the full feature and price rundown of CelerBook itself, see CelerBook's spa software.
What a spa or wellness practice often wants, and what not every provider has
Four features come up repeatedly in wellness, and not every software provider covers all of them.
Packages or treatment series. Selling five massages as one purchase, or a duo package for two people. Optios states this directly: you build packages "from a duo package to a series of massages" and sell them as a bundle or a session pass (en.optios.net/wellness-software, checked live September 2026). Fresha and Booksy offer comparable functionality under memberships or packages.
Gift cards. A steady source of revenue for many spas, especially around the holidays. Optios sells gift cards online and at the front desk. Salonized only offers them from its Basic plan at 39 EUR a month, not in the cheaper Appointments plan at 21 EUR (help.salonized.com, checked live September 2026). Booksy and Fresha include gift cards by default.
Room or cabin scheduling. At a spa with a sauna, several massage rooms and a rest area, a client sometimes moves through different rooms within a single visit, with time in between to reset each one. That needs software that treats a room as its own bookable resource, separate from the staff member. Optios describes exactly this on its wellness page.
Deposits. For long, expensive treatments, a deposit at booking softens the blow of a last-minute cancellation. Optios connects this to Mollie, and Booksy and Fresha have their own payment tools with a comparable feature.
CelerBook has none of these four. There is no separate sales channel for gift cards, no package builder for a series of treatments, no room or cabin model alongside the calendar per staff member, and no deposit at booking. What it does have: a calendar per staff member, a custom price per treatment per staff member, online booking around the clock, automatic confirmation emails, SMS reminders and a visible no-show policy on the booking page. Whether that is enough depends on how your spa actually makes money.
The checklist before you choose
Before comparing prices, work through this list for your own practice.
Do you sell packages or gift cards as a separate product? If so, you need software built for that, not just a calendar.
Do you work with separate treatment rooms that need scheduling on their own, apart from your staff? Then you need a system with room or resource scheduling, not just a calendar per person.
Do you take a deposit at booking? Check whether that can happen automatically during online booking, or whether you still have to call or message clients yourself.
How many therapists do you work with, and does each have their own price and hours? A practice with flexible rates per therapist needs software that can set a different price per staff member, not only per treatment.
How do clients book now, and what is missing? If the answer is "phone calls and a paper diary", any online booking page is already a step forward. Compare the features, but also weigh how quickly you can actually go live.
What happens with a no-show, and do you want that policy visible before booking? With 60 to 90 minute treatments, a no-show is a real loss, so a visible policy with a checkbox at booking saves an argument afterward.
Only once you have answered these for yourself does a price comparison mean anything. Otherwise you are comparing numbers without knowing whether the plan actually does what you need.

A few things stand out in this table. EsSalon and Salonized Appointments are the cheapest fixed subscriptions by price, but Appointments has no gift cards or deposits, those only start at Basic. Mindbody is clearly the priciest entry point, and that is per location, so a spa with two sites pays double fairly quickly. Optios publishes no price at all, which makes it hard to compare upfront without a conversation.
CelerBook charges no fixed amount but 0.25 EUR per completed appointment, capped at 30 EUR a month for a solo practice, rising by 5 EUR per extra staff member. For a practice with 40 appointments a month that is 8.75 EUR, at 80 appointments 18.75 EUR. Up to around 97 appointments a month, a solo practice pays less than EsSalon with online booking; above that, EsSalon's fixed amount becomes cheaper. For a wellness practice with four staff members the cap sits at 45 EUR a month, no matter how busy it gets. How that trade-off between a fixed plan and pay-per-appointment plays out more generally is set out in pay-per-booking versus subscription, and what salon software costs more broadly is covered in salon software cost.
Which spa fits CelerBook, and which does not
CelerBook is not software for every spa, and that is exactly why this checklist matters before you choose.
Fits well: a smaller spa or wellness practice where therapists work independently with their own calendar, where revenue comes mainly from the treatment itself, and where you do not sell gift cards, packages or deposits as separate products. Think of a massage practice with two or three therapists, a beauty specialist who also offers wellness treatments, or a small day spa where each therapist uses their own room without rotating rooms inside one appointment.
Fits less well: a larger wellness center with multiple treatment rooms that need separate scheduling, a shop with gift cards and packages as a fixed part of revenue, or a chain with multiple locations. For that profile, a provider such as Optios, Fresha or Booksy, which cover these features, makes more sense, even at a higher price.
So the question is not which software is objectively best, but which fits how your spa earns money. Sell mostly treatments, and a lighter system like CelerBook is often enough, and cheaper. Sell packages and gift cards too, and manage multiple treatment rooms, and you pay for those features with a specialist, which is the right trade there.
Two wellness practices, two outcomes
A worked example makes the difference concrete. Two practices, both "wellness", with very different needs.
Practice one: a massage practice with two therapists, 90 appointments a month, no packages or gift cards, each therapist working in their own room. With CelerBook that costs 21.25 EUR a month (85 paid appointments times 0.25 EUR, under the 35 EUR cap for two staff members). With Salonized Basic, needed for gift cards this practice does not sell, that is 46.50 EUR (39 plus 7.50 for the second staff member) for features that mostly go unused.
Practice two: a day spa with a sauna, two massage rooms and a rest area, selling packages and gift cards and moving clients through multiple rooms within one visit. CelerBook schedules by staff member only. Room scheduling and a sales channel for packages and gift cards are both missing, regardless of appointment count. A provider such as Optios, with room scheduling, packages and gift cards included, fits better here, even without a published price.
Same sector, different needs, different outcome. Appointment count does not decide the choice in this example, the features you need do.
How to move on this starting next week
A concrete plan to make this decision without rushing it.
Week 1: work through the checklist above for your own practice. Write down which of the four features (packages, gift cards, room scheduling, deposits) you already use or genuinely plan to use.
Week 2: ask every provider on your shortlist whether those features are included, and in which plan. At Salonized, for example, gift cards only start at Basic, not the cheapest plan.
Week 3: convert your own monthly appointment count into a real amount at each provider, including any per-staff-member fees.
Week 4: test the two remaining options with a trial or demo before deciding for good. If a fixed contract is a dealbreaker either way, see how providers differ on that in salon software with no contract.
Recognize your practice in the smaller profile above, with treatments handled per staff member and no separate sales channels? Then CelerBook is worth trying: 0.25 EUR ex VAT per completed appointment, the first 5 per month free, capped at 30 EUR a month for a solo operator plus 5 EUR per extra staff member. You get a calendar per staff member, online booking through your own booking page, a custom price per treatment per staff member, automatic confirmation emails, SMS reminders and a visible no-show policy. No fixed contract, no usage means no cost. Try CelerBook for free.
